Changes for the 2020-21 BUCS Extraordinary Season

Temporary changes have been made to the Outdoor Archery Championships for 2020-21. Due to the impact of the pandemic it was necessary to make changes to the round shot, the team composition and the novice criteria.

Hosts

In order to enable the shoot to run as smoothly as possible the hosts are looking to build a large field party to assist in the running of the event. Anyone not shooting, and able to volunteer should join the facebook event here

(Institution Administrators are given 48 hours after the student/competitor deadline to approve entries)

Stage 1 Entry Fee

£21 for Saturday Entry

£21 for Sunday Entry

Team Events: No additional charge, as results are extracted from individual events

Stage 2

Should the competition allow more entries a Stage 2 Entry window will open. Priority will remain with the entries received before the Stage 1 entry closing date. Entries received in the Stage 2 window and accepted into the competition, will be charged an additional 20% fee.

 

Entry Process

Each student should apply for the event on BUCS Play before the student deadline.

To apply for this competition:

  1. Competitor to complete competition application on BUCS Play
  2. Institution Administrator approves entry
  3. BUCS approves/denies entry into competition and publishes confirmed entry list

Competition Format

Saturday:

WRS WA70m/60m/50m Ranking Round followed by Head to Head

Sunday:

WRS WA900

Full details of the rounds to be shot by each category can be found in BUCS Regulation ARC 2.2

Target awards may be claimed by all experienced archers and novice barebow/compound archers on Saturday and all archers on Sunday providing they achieve the appropriate scores.

Registration

  • From 7:30am on Saturday.
  • Equipment inspection will be run alongside registration.
  • Archers will not need to re-register on Sunday.
  • For those who are only shooting on Sunday, equipment inspection/registration will open from 9:00am.

Assembly

  • Saturday- 8:30am         
  • Sunday- 10:00am

On both days practice will immediately follow assembly and will be a maximum of 45 minutes.

World Record Status

These events will be World Record Status at which Target Awards may be claimed by all archers on Saturday, and experienced archers and novice barebow and compound archers on Sunday.

Qualification Standards and Scores

When an archer enters they will be asked to submit a qualification score. Full details of what tournaments/shoots count as qualification events can be found in the Appendix A tab below.

  • The scores listed in Table 1  are the minimum qualification criteria for all categories. Archers who achieve the minimum scores listed in Table 2 will be given priority entry. Archers must shoot a score equal to or higher than the qualifying scores listed in the tables below in order to be eligible to compete.

Archers are welcome to complete a round that is a distance up than those specified (ie. a Metric 1 instead of a Metric 2) and their entry will be accepted, as long as the minimum scores for the comparable round in Table 1 are achieved.

All scores must have been shot at, or since the BUCS Outdoor Championships 2021.

Novice Entries

Please note, any entrants who have not held insurance with an Archery Governing Body prior to September 2019, and who have commenced shooting during, the past 2 academic years shall be eligible for entry into the Novice categories and should enter the appropriate categories on the online entry form. Queries on the status of a Novice should be directed to Alice Robinson.

Disability Archery Entrants

  • Please ensure that you specify any additional requirements on your entry. Where possible we will accommodate all reasonable requests and support athletes as best we can.
  • Competitors in the disability category remain eligible as part of their chosen individual and team categories, with their scores extracted for disability results.
  • Evidence will be required for any classifiable adaptations made in accordance with WA rules (i.e., release aids on non-compound bows).

Eligibility

  • All competitors must be members of Archery GB and membership cards MUST be presented at registration on the day of the Championships.
  •  Novice category eligibility can be found in ARC 3 of the BUCS Regulations.

 

Any individual who enters the tournament and is subsequently found to be ineligible for the category they have entered (ie. novice, barebow), will not be permitted to compete.

  • If this is discovered before the event the individual will be permitted to switch to the appropriate category, if possible (determined by BUCS), this will incur a £15 admin fee.
  • If discovered after or during the event, the participant will be disqualified, any awards will be revoked and a £50 fine will be issued to the appropriate Institution post-event.

Entry Allowance

Please note that each competitor may only be entered into one bowstyle over the weekend. All entries should be selected as non-guaranteed. This means that all entries will be verified for qualification score before being accepted. Institution Administrators must rank the competitors in order of preference for entry, for each category. This will be used in the event that the event or the bowstyle is oversubscribed. Any competitors not initially allocated a space will be added to a reserve list.

Reserve List, Substitution and Withdrawals

Any institution wishing to make a substitution for one of their allocation must request this via their Institution Administrator by 5pm on Monday 7 June 2021. Substitutions can only be made using those listed on the relevant reserve list and cannot be made after 5pm on Monday 7 June 2021 under any circumstances. Substitutions can only be made amongst the Automatic Qualification entrants and can only be guaranteed if they are for the same round and bowstyle. Confirmation/rejection of substitutions shall be given by Wednesday 9 June 2021 at the latest.

Where an individual develops a new injury/medical condition requiring them to withdraw, a medical note can be submitted to avoid incurring a fine.

Withdrawals and substitutions should be sent via e-mail from the Institution Administrator to Alice Robinson.

Please be aware of the Events Cancellations, Withdrawals and Refunds Policy for the BUCS Extraordinary Season 2020-21.

Entry Selection Process

The following entry selection process shall be used:

All Automatic Qualification entrants shall be taken first. In the event of oversubscription after these entries have been considered, a cut shall be made with preference given in order according to the submitted competitor ranking.

If there are spaces remaining after the Automatic Qualification entries have been considered, the 2nd Chance Qualification entries shall be considered. The submitted qualifying score of these entries shall be converted to the handicap. The remaining spaces shall be filled in order of handicap away from the Automatic Qualification irrespective of bowstyle. i.e. archers who “just missed” the Automatic Qualification score will have a higher priority than those who “just achieve” the 2nd Chance Qualification score. This shall be continued until either the field is full, or all 2nd Chance Qualifying entrants are shooting. In the event of there still being space on the field, but no space available in the applicable round of the next eligible archer (e.g. next eligible archer is an Experienced Female (shooting the Ladies WA1440), but the only spaces left are 2 spaces on the Gents WA1440), then the next eligible archer for the round with spaces shall be chosen.

Covid-19 Measures

What are we doing to ensure your safety?

What’s new for 2020-21?

Like always, we are taking safety at our event seriously. After careful consideration during the off season regarding the current Covid-19 pandemic, the BUCS team have implemented the following measures to promote the health and wellbeing of competitors, officials, volunteers and staff.

We created these measures by:

  1. Seeking advice from local authorities and National Governing Bodies regarding the current Covid-19 restrictions and recommendations
  2. Collaboration with the host venues
  3. Following of Government and NHS advice
  4. Consultation with BUCS Chief Medical Officer

New Measures:

  1. Event Disclaimer updated to include specifics around Covid-19
  2. Limited entries to adhere to capacity restrictions, adhering to Archery GB guidance in regards to boss spacing
  3. Designated times for arrival and departure (Event specific info should include this)
  4. Staff members and volunteers interacting with competitors will be wearing appropriate PPE/face coverings
  5. Temperature checks on arrival. Any competitor failing a temperature check will not be permitted to compete.
  6. Covid-19 questionnaire completed 24 hours in advance of the event
  7. Contactless registration
  8. Access to hand-washing facilities, or hand sanitiser
  9. Increased signage on hand washing
  10. No handshakes, high-fives and spitting
  11. Extra cleaning and disinfecting of frequently touched surfaces, such as targets
  12. We will be operating on a restricted access policy and no spectators are permitted
  13. Unfortunately, no presentations will take place and all medals will be posted to you after the event
  14. Competitors must depart promptly after competition finishes – no hanging around post event

What’s expected of competitors:

  1. Event competitors should stay home if they have any Covid-19 symptoms, live in the same household with someone with Covid-19 symptoms or have been diagnosed with, or suspected to have, Covid-19 in the past 14 days.
  2. Competitors must follow direction from BUCS staff
  3. Competitors must comply with temperature checks. Any competitor failing a temperature check will not be permitted to compete.
  4. Competitors must complete Covid-19 questionnaire before competing
  5. Competitors are expected to follow government guidance when attending an event including but not limited to guidance around travel and accommodation. This guidance should be considered prior to entry.
  6. Competitors should always follow social distancing guidance
  7. Competitors should ensure they are following hand hygiene practices at all times
  8. Competitors should wear a face covering when indoors
  9. Competitors should not share equipment at this time unless permitted within NGB guidance
  10. Follow the guidance and safety procedures outlined for the event you are attending. These can be found in the Event Guide

Despite all these extra measures we have implemented, it is impossible to fully remove all risk. Please carefully consider your options and make sure you are completely comfortable with the risks involved, before attending this event.

Details regarding Entry Checks can be found on further up the page. Please note: These requests are not guaranteed, nor is this a confirmed entry list. No new entries will be accepted during this window. Amendments to entries after the closing date will incur a £10 admin charge.

After any amendments are received, an accepted entries list and Event Guide will be published on Friday 4 June 2021.

A Final Target List will then be published on Friday 11 June 2021 once the field is setup. Only those persons listed on the Final Accepted Entries List can participate.

Camping

  • Camping will be available at Lilleshall National Sports Centre on Friday and Saturday nights at a cost of £10 per tent per night. Camping can be booked through this link

Please note: All institutions/archers are responsible for booking their own camping if they require it.

  • Fires and barbecues are strictly prohibited. On both nights there must be no noise after 11pm.
  • Portaloos will be available on the camping field. An accessible toilet can be found in the Pavilion.
  • Showers are available in either the pavilion (accessed via either changing room at the front of the building), or in Queen’s (please ask at reception if directions are required).
