Entry Closing Date

The student/competitor deadline is Tuesday 21 January 2020 at 11:59pm. Students must apply by this deadline. 

The institution administrator approval deadline is Thursday 23 January 2020 at 11:59pm.
This gives Institutional Administrators 48 hours after the student / competitor deadline to approve entries.

This competition will not operate a staged entry process. As such, please ensure all entries are submitted through BUCS Play prior to the closing date listed above.

* Top 20 entrants will be accepted. Entry times will be verified via the Swim England/Scottish Swimming rankings against both 800m and 1500m times for validity and may be rejected if validity cannot be proved.

** No BUCS points will be awarded for the 4 x 100 Mixed Medley Relay.

The Top 3 swimmers or teams of each event will receive medals.

BUCS Points are only available for A finals and are limited to 2 swimmers per institution in individual events and 1 team per institution in relay events.

BUCS Points will not be allocated where the minimum number of competitors/teams has not been reached, or where there are not enough individual scores to extract a team score. Furthermore, an individual/team must have beaten another individual/team to score BUCS Points (i.e. if 3 individuals/teams compete in an event, only 2 will score BUCS points). This does not apply to extracted teams. Individuals/teams are regarded as having compete if they started the event, therefore DNS will not be regarded as having competed.

Similarly, medals will be awarded according to the accrual of BUCS Points. For example if only 3 individuals/teams compete in an event only Gold and Silver medals will be awarded.

Entry Allowance

Each institution may enter two competitors per individual event and one team in each relay event

These should be added as ‘Guaranteed’ entries. Refer to the section ‘Para-swimming entrants’ for information on making these entries using the ‘Non-Guaranteed’ entries option.

Each competitor will be restricted to three individual events.

BUCS may restrict entries should demand exceed capacity. Should it be necessary to restrict entries one entry per institution will be guaranteed in each event with the exception of 400m, 800m and 1500m events.

As stated the Top 20 entry times will be accepted for the 800m Freestyle and 1500m Freestyle. A reserve list will be published for these events, and updated if withdrawals occur, with the final announcement made on 5pm Wednesday 12 February 2020.

Entry Times

Entry times must be submitted for all events.

These should be Long Course times or conversions from Short Course times and must be times  achieved in the last 12 months.

Please write the Entry Time in number format as follows: 

  • 022159 – represents 2 minutes, 21 seconds and 59 milliseconds).
  • Any entries made putting 00000000 (or any other zero time format) will be rejected. If you do not have an official time please submit a time trial time, this includes relay entries.

Entry times submitted for events with a qualification standard must have been achieved in a competitive environment in the last 12 months prior to the competition and may be verified against British Swimming/World Para Swimming rankings.

You may also be asked to verify your time on request prior to or at the event. Failure to prove your entry time may mean that you are not able to participate in the event.

Minimum Entry Standard

BUCS recommends that those entering this event are at a minimum of County Standard. As a guide they should have achieved their home County’s Qualifying Times within the last 2 months.

Entries by swimmers with times outside of these times will be rejected.

Warning: any swimmer finishing excessively outside the above times will be asked to prove their entry time legitimacy and if this cannot be proven then these individuals may face disciplinary action or a fine as outlined in the pre-event information.

Entry Process

To apply for the competition all eligible competitors must follow these steps.

  1.          Competitor to complete competition application on BUCS Play
  2.          Institution administrator approves entry
  3.          BUCS approves/denies entry into competition and publishes confirms entry list

To check whether you are eligible to compete in BUCS competitions, please visit BUCS Individuals Eligibility REG 4.

Please note: For relays, complete step 1 above. A minimum of 4 competitors must apply for each relay. The Institution Administrator must then select 4 competitors to form the ‘Squad’. These do not have to be the final squad, relay declarations will be completed at the competition.

These individuals can be changed for other swimmers entered elsewhere in the competition on BUCS Play when submitting your relay declaration form at the Championships. If you have swimmers who will only participate in relays these individuals must be listed in a relay entry on BUCS Play.

No entries will be accepted after the entry closing deadline under any circumstances. 

Institution administrators: you must ensure all events have been checked for applied competitioes before the IA deadline. 

Furthermore, after entries have closed no refunds will be given for withdrawals. This applies regardless of the reason for a withdrawal.

If a competitor is unable to apply for an event on the BUCS Play app or desktop version of BUCS Play, they must submit a support ticket to bucsplay@bucs.org.uk before the student deadline of 21 January 2020.

Entry Checks

The entry lists will be published on the BUCS website by Monday 3 February 2020 for checking.

All entries must be checked, with errors you wish to be corrected being reported as soon as possible by your Athletic Union to entries@bucsswimming.org.uk.

Once entry link is released:

Any requests for changes to the data submitted on BUCS Play may be possible but will be subject to an admin charge of £10 per change prior to the event.

Any requests for changes made at the event are also not guaranteed and will be subject to an admin charge of £20 per change which must be paid in cash at the event at the time the change is requested.

Substitutions

You will only be able to request substitute swimmers for swimmers who become unable to swim their event(s) after the closing date. They must be named swimmers from your accepted submitted entries.

Substitutions are only accepted up until Friday 7 February 2020, after which only medical substitutions are permitted if accompanied by a medical note.                 

Para Swimmer Entrants

Institutions will be permitted to enter two para-swimmers in each recognised event listed below, this is in addition to their two entries per event allocation, providing that they are Nationally/Internationally classified and registered. These should be added for the relevant events as ‘non-guaranteed’ entries.

Para-swimmers will also be restricted to three individual events.

BUCS reserves the right to restrict entries where the competition reaches capacity. Please note that the same restrictions with regards to entry times for long distance events will also apply to para-swimmers. Recognised events for para-swimmers are as follows (in line with events currently being swam in Great Britain for para-swimmers):

Para-swimmers please note that in line with World Para Swimming Rules and Regulations (Regulation 5.1.2) that any World Record swims will not be recognised at BUCS Long Course Swimming Championships.

Specific Requirements

If you have any specific requirements for competing, e.g. Strobe lights, use of ‘tappers’ etc. please advise Alice Robinson of this in advance of the event.

Any para-swimmers requiring the use of tapping devices, blackened goggles or starting devices MUST have these signed off at the Technical Briefing in order for them to be used during the Championships.

Governing body (e.g. Swim England (ASA), Scottish Swimming (SASA), Swim Wales (WASA), World Para Swimming (WPS) registration and rankings:

Being registered with a governing body is not a requirement to compete in the BUCS Swimming Championships. However, registered swimmers who wish for their times to be submitted for ranking purposes must ensure that their institution provide their governing body number on the BUCS Play entry form, as well as checking that they are registered on BUCS Play with their name and date of birth matching that on their governing body registration. For para-swimmers to be eligible for disability points and awards they must be Nationally/Internationally classified and have a current governing body registration to validate their entry as well as fulfilling the above. Governing body numbers must be provided at the point of entry.

Guest Entries

BUCS and British Swimming are happy to announce that we will once again allow a number of guest entries for the Speedo and BUCS Long Course Swimming Championships.

Entry Requirements for Guest Swimmers

Swimmers that are eligible to compete are those athletes that are:

  • Currently on British Swimming programmes
  • Not a student at a BUCS member institution
  • Are 18 years of age or older.

Any swimmer who is eligible to compete for their own university must swim for them and are not permitted to compete as a guest swimmer. Any registered university/college swimmer that is found to be attempting to swim as a guest will not be permitted to take part at the Championships.

This Guest Entry Information will be forwarded on to all eligible swimmers by British Swimming. Any swimmer who has not been identified by British Swimming as an eligible guest swimmer will not be permitted to swim at the Championships under any circumstances.
