Registration

On arrival, teams should register with the Tournament Referee at the registration desk inside the event venue. Any team who has not reported in person within 15 minutes of their match being called by the Tournament Referee may be removed from the competition. Please also note, TEN 3.3 applies.

Acceptances and First Match Times

Any player still listed as a reserve when the match times are released should send their contact details to the relevant Tournament Referee. Any reserve that becomes unavailable should notify BUCS via the same procedures as initially accepted competitors.  

Prior to the release of first match times, the Tournament Director may, where possible, also email the player directly using their LTA Advantage Membership profile contact details to notify them of their acceptance to the draw. Therefore, those players with LTA Advantage Membership are strongly encouraged to check the contact information on their LTA profile is correct to ensure event information is sent to the appropriate address. In the rare case that a player is not registered for LTA Advantage Membership, BUCS may attempt to contact the player’s Athletic Union directly. 

Acceptances and first match times for all competitions will be published on the Tennis: Doubles Championships 2025-26 page of the BUCS website. Draws will be released the Thursday prior to the Doubles Championships to ensure that, as much as possible, we maintain accurate seeding, while teams from the same institutions are split throughout the draws, after any withdrawals are received. Match information will also be sent to the players’ registered email addresses for those with LTA Advantage Membership numbers*.

*every player should have an LTA Advantage Membership and are therefore encouraged to check the contact information on their LTA profile is correct to ensure event information is sent to the appropriate address. 

The “Draws & Match Times” section will contain the draws of both the Men’s & Women’s events and first match times of all pairs. Any team who has not reported in person within 15 minutes of their match being called by the Tournament Referee may be scratched from the competition. Please note this section may be updated due to withdrawals/partner changes, Sophie Kitson or Carl Baldwin will be in contact directly with any affected pairs.

Schedule

The tournament draws and schedule will be available by Thursday 13 November 2025.

All draws for the Doubles Championships are a 32 draw and on a knockout basis. This year a consolation draw will also be played, guaranteeing all pairs a minimum of 2 matches. All those who lose their first-round match will be included in the consolation draw automatically. All matches throughout the competition will be the best of two tiebreak sets with a match tiebreak deciding the third set.

Withdrawals

Any team unable to attend must inform Sophie Kitson (Tennis Programme Coordinator) as soon as possible, copying in their Institution Administrator to ensure they are aware of the withdrawal.

If 1 person in the pair is unable to compete due to illness or injury, you will be able to switch partner up until the Tuesday before the event (11 November), your Institution Administrator must email Sophie Kitson (Tennis Programme Coordinator), Carl Baldwin (Tournament Director) and Richard Joyner (Tournament Referee) before 23:59 on Tuesday 11 November 2025 with details of the alternate partner including: name, email, university, phone number, emergency contact details, LTA Advantage Membership Number and highest playing level. Alternate partners for any reason may not be accepted after this date.

Please note, if there is only 1 pair accepted into the draw from an institution, should there be a withdrawal, if there is a second pair from that institution that has not already been accepted into the draw, they will replace the withdrawn pair in the first instance. If there is no second pair from the withdrawing institution, then the next best ranked pair will instead be contacted. The reserve list is currently not in ranked order, this will be updated shortly.

Any withdrawal later than Thursday 13 November 2025 must also be emailed to the Tournament Referee, Richard Joyner and Sophie Kitson. Any withdrawal later than 09:00 am on Friday 14 November 2025 must also be telephoned to the Tournament Referee. Withdrawals are not eligible for a refund on the entry fee. Withdrawals before the entry closing date will not be charged the entry fee.

FINES FOR WITHDRAWALS

  • Withdrawals after 5pm on Wednesday 12 November 2025: £20

  • Withdrawals after midday Thursday 13 November 2025: £50

  • No shows on the day: £100

  • Withdrawals prior to Wednesday 12 November will still be charged the entry fee unless not accepted into the draw

Parking

Free on-site parking is available.

Changing Facilities / Disability Access

Changing facilities and showers are available, there is also an accessible toilet which is open to all. There is also a lift up to the viewing gallery.

Food and Drink

Hot and cold food is available from the on-site café. Water is available from the café and from water fountains around the club.

Café Opening Times:

Saturday: 8am-7:30pm

Sunday: 8am-5pm

Racket Stringing

A racket stringing service will be available on site. Grips, over grips and shocker absorbers will also be available to purchase.

Presentations

Presentations will take place after the completion of the finals.

Photography and Videography

Anyone wishing to take photos or video at this event must complete the BUCS Media Accreditation Form prior to the event.

BUCS reserves the right to prohibit photography equipment being used at a BUCS event. BUCS reserves the right to request that the individual ceases to take photographs, deletes any images and, if considered necessary, leaves the venue.

Sustainability

The sustainability of our event matters to us and these are the positive steps we are taking to manage our environmental impact: 

  • All staff and volunteers are encouraged to travel to the event via public transport 

  • We have used local suppliers where possible 

  • Event programmes are all online, minimising paper use 

  • We will print on demand merchandise (if applicable) 

  • We are beginning to track our carbon footprint across BUCS events to identify areas of improvement. 

How can you help at this event? Here’s some ideas:  

  • Be self-sufficient by bringing your own refillable bottles and coffee cups to reduce waste  

  • Ensure you are disposing of waste correctly – Check around the venue for specific recycling and food waste bins  

  • Travel smarter – as a team on a minibus, cycle or use public transport  

  • Go paperless - use your phone for all event information
