Marshals

All institutions are kindly asked to bring a volunteer to assist with the Marshalling at this event. Those who are assisting will have to sign up on BUCS Play to confirm they are attending. We have extended the deadline to Friday 29th May. 

Equipment

It is recommended that all riders wear a full face helmet, however this is not mandatory. 

Helmets must be worn at all times when cycling (including in transition)

HQ will be situated on the field at the bottom of Stage 2. Please find a link the location here

Registration

Sign on will take place at the gazebo in the field which is marked as ‘Registration’ and has BUCS Staff operating from. Here, you will collect your numbers and timing chip and be eligible to compete in the event.  

Timetable

8:30am - Registration Opens 

9:30am – Registration Closes 

9:45am – Rider Briefing 

10:00am – Competition Begins 

13:00pm – Lunch Break 

13:30pm – Competition Resumes 

16:30pm – Competition Ends 

17:00pm – Presentations Begin  

17:30pm – Presentation end and day concludes 

Event Format

 

The competition will run in the following format: 

  • Mash-Up Format 

  • 3 Timed Downhill Stages 

  • Each competitor has a maximum of 3 attempts at each stage 

  • Best time from each stage goes towards final time 

  • Winner is best overall time of all 3 stages 

 

Please note, due to lack of Marshals, the format may be adjusted closer to the day of the event.

Licenses

We recommend all riders to hold either a provisional or full British Cycling membership, however this is NOT required for this event.

Live Results

Live results will be available at this event, thanks to our timing provider. The link for this will be released closer to the event date. 

Withdrawals

To withdraw from the event, please contact your Institution Administrator who should inform the event lead.  

Please see REG 7.9 for our withdrawal policy. Any withdrawals after the initial entry approval date of Thursday 21st May will still be charged the entry fee.

Fines

Any riders that 'Do Not Show' (DNS) or withdraw after Friday 29th May will be subject to a £50.00 fine on top of the entry fee. 

Parking

Parking is available at the Forestry for a £4 all-day fee. If you wish to stay overnight in the car park then there is a £10 overnight fee. 

To find the car park, continue past the old cafe to the end of the road. Turn left and follow this road, you will see the field with the BUCS tents set up to your right, drive past this. The car park is on the next left after you pass this field. 

 

Changing Facilities

Unfortunately, this facility does not have changing facilities. There will, however, be toilets available. 

Food & Drinks

Unfortunately, the cafe at AE Forest has recently closed and therefore there is not any facility which will provide food or drink. We strongly recommend you bring enough refreshments for the day. There will be a 30-minute time slot dedicated for lunch. 

Toilets

There will be toilets available on the registration field at the bottom of Stage 2.

Spectators

Spectators are free to view the competition free of charge. We ask you stay a sensible distance behind the marked course to ensure safety for you and our riders. Our marshals will be on hand to direct or assist you. 

Camping

Unfortunately, there is no camping available on-site. There is however, spaces for mobile homes in the car park. Please reach out to Joe O'Loughlin if you're planning to do this. 

Presentations

Presentations will take place 30 minutes after the competition ends to allow us time to calculate all results. Medals will be awarded for the following categories: 

 

Open Individual 

Female Individual 

Open Team (Best 3 Accumulative Rider Times) 

Female Team (Best 2 Accumulative Rider Times) 

 

BUCS Points Available

This event is being run as a pilot event for 2025-26 and therefore there are no BUCS Points available. 

Photography & Videography

Anyone wishing to take photos or video at this event must complete the BUCS Media Accreditation Form prior to the event. 

BUCS reserves the right to prohibit photography equipment being used at a BUCS event. BUCS reserves the right to request that the individual ceases to take photographs, deletes any images and, if considered necessary, leaves the venue.

The sustainability of our event matters to us and these are the positive steps we are taking to manage our environmental impact: 

  • All staff and volunteers are encouraged to travel to the event via public transport 

  • We have used local suppliers where possible 

  • Event programmes are all online, minimising paper use 

  • We will print on demand merchandise (if applicable) 

  • We are beginning to track our carbon footprint across BUCS events to identify areas of improvement. 

How can you help at this event? Here’s some ideas:  

  • Be self-sufficient by bringing your own refillable bottles and coffee cups to reduce waste  

  • Ensure you are disposing of waste correctly – Check around the venue for specific recycling and food waste bins  

  • Travel smarter – as a team on a minibus, cycle or use public transport  

  • Go paperless - use your phone for all event information
