Event Guide

Registration

Campsite E]entry will be open from 8pm-Midnight on Friday 6th May. There will be no entry to the campsite after this time.

You will be checked in at the gate to the campsite. Please ensure you have your Student ID.

SCRUTINEERING: Will take place at the campsite between 6pm-11:30pm. You must have you kit checked before games begin on Saturday 7th May.

Friday 6th May:

6pm-Midnight: Campsite Entry and Registration

6pm-11:30pm: Scrutineering (On Campsite)

Midnight: Campsite Height Restriction Bar is Lowered. High vehicles cannot enter/leave

After 10:30pm: NWSC – No Excessive Noise

Saturday 7th May:

8am: Campsite Height Restriction Removed

8:30am – 5:30pm (TBC): Saturday Games

7pm: Campsite Height Restriction Lowered

After 10:30pm: NWSC – No Excessive Noise

Sunday 8th May:

8am: Campsite Height Restriction Removed

8:30am – 5:30pm (TBC): Sunday Games

5pm: Campsite MUST be cleared by 5pm

6:30pm: Pitches and event site must be clear by 6:30pm (Car Park Locked)

Parking

Grass parking on the campsite will be available ONLY if the weather allows. If the campsite manager deems it too wet for grass parking, people will have to park at the NWSC car parks. These use ANPR cameras, and you must pay to park there. More information can be found here: https://www.nwscnotts.com/nwsc/car-parking/

The Canoe Polo Pitches have a small, dedicated car park for use on Saturday and Sunday. Each team is permitted a maximum of 2 vehicles. These spaces are NOT guaranteed. This car park may fill up quickly and you may have to park elsewhere if there is not space at the pitches. Serco has informed us that this car park may also have ANPR cameras by the event date. Please Note: The height restriction barrier to the campsite will be lowered overnight. Please account for this if you are bringing taller vehicles (Such as vans/minibuses) for access reasons. Any damage caused by this is the responsibility of the driver of the vehicle.

Food and Drink

Serco will be providing a catering van from 10am-3pm on Saturday & Sunday at the Canoe Polo Pitches selling burgers, chips and hot and cold drinks.

PLEASE NOTE: There is no running water available at the Canoe Polo Pitches. Please ensure you bring plenty of drinking water. You can refill bottles at the campsite.

A Saturday evening meal will not be provided.

Captain Briefing

A captains briefing will be held before games start on Saturday (Time TBC). 

Medals will be given to teams at the end of Sunday games. 

Clothing

Clubs must ensure they bring enough kit for each of their teams. If they have both a Men’s and Women’s team, they must bring enough kit for both teams as it is unlikely, but possible that both teams may be playing at the same time. If you do not have enough kit, we suggest contacting some other local clubs to borrow kit or pre-arranging with other clubs at the event to borrow kit if needed.

We are unable to provide spare kit at the event.

Competitors must dress appropriately for the weather conditions. Keep in mind there is no indoor/covered areas available at the canoe polo pitches.

Water Quality

Teams must be familiar with the NWSC water quality procedures. Information can be found here:

The Canoe Polo lake is separate from the rest of the NWSC water bodies, but this information can still be relevant at all alert levels. 

Damage

Clubs will be FULLY responsible for any fines and damages made to the campsite and/or canoe polo pitch area by their members.

Clubs will also be responsible for any noise complaints made from their members during the "No Excessive Noise" period on the campsite (From 10:30pm onwards). This may include fines.

Weather

In the event of an electric storm, all play will be paused until 20 minutes after the final thunderclap. Competitors will have to find a safe area (such as inside their vehicles) during this time.

Games missed due to extreme weather will not be rescheduled. 

Photography

During this event various filming, photography and broadcasting may take place. By your presence at this event you grant your permission for your likeness and voice to be included in pictures and / or on film, and their advertising without compensation or credit.
