- The tournament is using Macoocoo as it’s scheduling and results service. Tournament info can be found at www.macoocoo.com or their app. We recommend downloading the Macoocoo Tournament Viewer app in advance

Team Sheets
All competitors must join their team on BUCS Play by Tuesday 10 June 2025 and be approved into the squad by 11:59pm Thursday 12 June 2025. Instructions on how to do this can be found HERE.
All reserves should join the team on BUCS Play in case of injury/illness etc. Reserves not listed will not be able to be listed on the match day team sheet. No new names can be added on the day.
All team captains or coaches must bring a paper team sheet to registration with their match day playing squad listed. A download of this can be found HERE. Anyone who is listed on the paper team sheet who is not in the squad on BUCS Play will not be able to compete. A maximum of three team staff can be listed on your team sheet. Any additional personnel will need to purchase a ticket.
Please communicate your squads as early as possible.

Players MUST wear the same number throughout the tournament. If there is cause to switch jersey, you MUST inform the tournament/commentary at Control.
Registration
Registration 8:30 – 10:00
Location Tournament HQ within the main offices/grandstand of The RAG (location to be confirmed but conveyed to teams in the build-up)
Every team must come to registration with a completed paper team sheet which should match your team on BUCS Play. Anyone who is listed on the paper team sheet who is not in the squad on BUCS Play will not be able to compete.
Referee Meeting
The referee meeting will take place at 10:15 at event control. One representative (coach/captain) from each team must be in attendance.
Presentations
Medals will be awarded for the winners and runners-up of the Men's Championship, Women's Championship, Men's Trophy and Women's Trophy.
Presentations will take place after each Final, in or near the grandstand
Medical
All teams must complete the medical form which can be found here. One form should be completed per team. This form helps the organisers understand the level of medical support teams may have with them.
- An ambulance, paramedics, doctor and head of medical will be on site for the duration of the tournament.
- The Medical Room will be situated underneath the grandstand.

Team Areas
- There will be assigned team areas.
- Each team is entitled to erect either one 3x6 gazebo OR two 3x3 gazebos.
- Gazebos are to be erected a safe distance from the pitch. If your location is deemed dangerous, you will be instructed to move.
- Each team has access to clubhouse changing facilities, which are undesignated.

Parking
Teams
- Free parking is available for team minibuses at The RAG but not cars.
- Coaches are permitted to drop teams off at the gates to The RAG but not enter or park on the site. Limited coach parking can be found in the car park on the opposite side of the A316 opposite Old Deer Park.
- We recommend teams inform their coach driver in advance so they can plan suitable off-site parking in advance of their trip.
Spectators
- There is limited parking available at The RAG at a cost of £12.50 for the day.
- Additional paid public parking can be found on the opposite side of the A316 opposite Old Deer Park aswell as a number of other options in and around Richmond
- We recommend taking public transport where possible.

Travel by Car
- The RAG is located off the A316 Twickenham Road at the Pools On The Park exit (look for the brown road sign that says Pools On The Park, Royal Mid-Surrey Golf Club and Richmond Rugby).
- It is recommended you use Google Maps, rather than Waze*, as a mapping app to help you get to The RAG – Waze takes you to a different site entrance that is usually locked.
Travel by Coach – THERE IS NO COACH PARKING @The RAG for this event
- Alight all players, staff and equipment outside The RAG.
- Coaches can turn in Pools on the Park.
- Coach drivers are advised to park at:
- Old Deer Park Car Park, Richmond, TW9 2RA.
- A pre-researched alternative location deemed suitable by the driver.
Changing Facilities
Changing rooms are located underneath the pavilion. These will be clearly signposted.
Changing rooms are not allocated.
There are separate Men’s and Women’s changing facilities.

Ticket can only be purchased through the website, no cash sales can be made on the day.
Anyone not listed on the team sheet (13 players + 3 team staff) must purchase a ticket.
Food & Drink
Food and drink is available for purchase at The RAG.
There is a fully operational bar and a coffee truck will be in operation.
Food can be purchased from the canteen in the clubhouse or the BBQ area outside.
There may be external food vendors depending on demand.
Competitors are reminded about REG 5.1.1 whereby the consumption of alcohol whilst competing/with fixtures still to play will not be tolerated.
Dogs
Dogs are not permitted at the venue
Withdrawals
Team withdrawals must be made by a competitors athletic/students union by emailing the event lead.
Please see REG 7.9 for our withdrawal policy.
Teams who withdraw the after the team entry deadline (Thursday 15 May) or who do not attend the event will be classed as a late withdrawal/no show and therefore will be charged the entry fee and fined £100.
This fine is in place as withdrawing after teams have been accepted impacts the draw, involving additional administrative time and costs, and also effects the experience of the other teams due to a reduction in their number of fixtures.

Photography & Videography
Anyone wishing to take photos or video at this event must complete the BUCS Media Accreditation Form prior to the event.
BUCS reserves the right to prohibit photography equipment being used at a BUCS event. BUCS reserves the right to request that the individual ceases to take photographs, deletes any images and, if considered necessary, leaves the venue.
