The Midlands finals day is fast approaching, which teams will be crowned Midlands conference final champions?

Introduction

Congratulations to all teams who have qualified for the BUCS Midlands Conference Finals 2023. Nottingham Trent University (NTU) are excited to be hosting this event on behalf of the East and West Midlands Regions, with the help of University of Nottingham.

Please can all team captains read this information in full.

#GreenConferenceCup – Creating a more sustainable event

NTU Sport recognises the important role we can play in addressing climate change and we are committed to making our programmes more sustainable. As part of this, we are putting the following measures/projects in place for the Conference Cup event:

  • The majority (two thirds) of the fixtures start between 12:30 and 4pm, and fixtures for each institution have been ‘grouped’ so teams can use shared transport wherever possible.
  • 71% of the outdoor fixtures will be played during daylight, avoiding the need for floodlights.
  • NTU and UoN players and spectators are advised to travel by public transport from the city centre. There will be no parking available at Clifton Campus. For anyone cycling over to Clifton, NTU’s bike mechanic will be on hand to give your bike a free health check.
  • Water fountains are highlighted on the Campus Map so players and staff can fill their water bottles up – no plastic bottles or cups will be provided.
  • Home teams will need to bring their own equipment – we will not be purchasing anything additional.
  • Bring your old trainers for recycling – look out for these JOG ON donation boxes round campus. Just pop your old trainers into the box and they will be redistributed or recycled to avoid them going into landfill.

Registration

Please arrive at least 1 hour before your fixture start time to register. When you arrive at the venue, please go to the following registration desk where a member of staff or volunteer will show you to your allocated changing room. If you arrive late we may not be able to delay the start of the fixture due to facility constraints.

Travel and Transport

All teams must fill out the Transport Form to declare how they are travelling to this event, no later than Friday 3rd March.

IAs – please fill out this form once per team.

4.1 Lee Westwood Sports Centre & Clifton Campus

There is very limited parking on campus due to a postgraduate open day.

Coaches must drop-off teams at the following locations:

  • LWSC, 3G, Hockey Pitch, Tennis Centre: outside Lee Westwood Sports Centre
  • Grass pitches 1 & 5: Bus turning circle at main entrance (see Campus map)  Clifton Campus Map.pdf

     

Coaches then need to park off-site at one of the following locations:

  • Coach layby at the intersection between Nottingham Road and Barton Lane (towards Gotham)
  • Queens Drive Park & Ride NG2 1AR
  • Donington Services, M1 J23A, DE74 2TN

Car parking spaces will need to be allocated to teams in advance, please fill out the transport form above so we can allocate you one.

4.3 Gresham Sport Park

  • Coach parking is available on Gresham Park Road

4.4 Ruddington Grange Golf Club, Mellish RFC and David Ross Sports Village

Coach parking and car parking is available on site at these venues. 

Code of Conduct for Players & Spectator Guidelines

The Conference Finals are a celebration of our teams’ achievement and should be a fun and positive experiences for all players, officials and spectators.

Players and spectators are requested to conduct themselves in respectful manner. No form of abuse will be tolerated and our staff, security and volunteers will take appropriate action where necessary.  

Our sporting venues are “no alcohol zones”, so teams must be aware that they cannot bring alcohol to any venue (items will be confiscated by security). Alcohol can be purchased at The Point (NTSU) on Clifton Campus but must be consumed within The Point and cannot be taken pitch-side.

All team captains must sign the Code of Conduct form on behalf of their team, by Friday 3rd March.

Security and Stewards

There will be a team of Security staff and student volunteers to help ensure you have a safe and enjoyable experience. If you need any help or assistance our team are on hand to assist you.

Please also note that our campus has CCTV coverage.

Do not leave valuables unattended in changing rooms

Medical provisions

In the event of a life-threatening incident please call 999 immediately.

Lee Westwood Sports Centre & Clifton Campus

There will be an ambulance crew on-site (Pulseline Paramedics) who will be based in Lee Westwood Sports Centre car park from 12pm until 7:30pm.

There will also be multiple First Aiders based within Lee Westwood Sports Centre.

If you need assistance please locate a member of NTU Sport staff; either at your fixture or via LWSC reception. Duty manager number 0115 848 3953.

Forest Sports Zone, Gresham Sport Park & Mellish RFC

The Emergency Action Plan (EAP) for these venues will be sent to the participating teams.

David Ross Sports Village

Multiple First Aiders will be based within DRSV – please report any incidences to DRSV reception or locate a member of UoN staff.

Regulations

All HOME teams (first named team on BUCS Play) are responsible for providing all relevant equipment and kit needed, as if it were being hosted at their venue.

If there are any kit clashes, the home team should change to an alternative kit, agreed by both institutions in advance.

Medals will be presented after all finals.

In the event that the fixture cannot take place, the fixture will revert to the home team and be played on another date agreed by both institutions.

BUCS Play:

  • BUCS will update the fixture details on BUCS Play.
  • Team sheets need to be completed on BUCS Play by all teams.
  • All competitors should bring their student ID cards for verification.
  • Home teams are responsible for submitting the scores on BUCS Play as usual.

Match officials

Match Officials

NTU will appoint and pay all Match Officials in line with Appendix-5-BUCS-Match-Officials-Requirements, with the exception of Basketball and Water Polo which will be appointed and paid by University of Nottingham.

Please treat all Match Officials with respect and in line with the Code of Conduct.

If a Match Official has not arrived for your fixture, please report to your Point of Contact at registration or the Event Lead, Sophie Lewis 07795 521 644.

Medal Presentations

There will be a central area where all finalists will be presented with their medals in front of BUCS branding. This will be located in the main square of Clifton Campus outside the Pavilion (see Campus map). After your fixture is finished a volunteer/member of staff will take you to the presentation area – please clear the venue of your belongings.

For fixtures not at Clifton Campus, your medals will be presented at the venue.
